Position Summary
The Administrative Assistant provides comprehensive administrative support to the Property Tax team by managing documentation, coordinating meetings and travel, processing reports, and supporting leadership throughout the assessment review process. The role requires strong organizational skills and the ability to work independently while maintaining accuracy and professionalism.
Essential Duties and Responsibilities
Prepare, format, and edit letters, reports, spreadsheets, and other required documents.
Collect and organize client data; maintain accurate and organized client files.
Generate and update client and management reports.
Communicate with assessors and tax collectors regarding notices, valuations, tax bills, refunds, and appeal deadlines.
Calculate and process reductions; perform follow-up billing.
Schedule and organize meetings; prepare meeting materials.
Maintain files, databases, and account history reports.
Provide administrative support to team members, including coordinating meeting rooms, postage systems, office signage, and employee lounge upkeep.
Assist with travel arrangements and prepare expense reports.
Maintain and order office supplies; research vendors and manage contracts.
Assist with new hire onboarding.
Provide additional billing support as needed.
Perform other duties as assigned.
Education and Qualifications
High school diploma or equivalent required.
0–4 years of administrative experience in a professional environment.
Strong verbal and written communication skills.
Ability to work independently and manage multiple priorities.
Intermediate to advanced proficiency in Word, Excel, Outlook, and PowerPoint.
High level of interpersonal skills for handling sensitive and confidential information.
Work Environment & Physical Requirements
Work Schedule: Regular, 40 hours/week
Travel: Less than 10%
