Brief Job Description:
The Assistant Manager – Administration will oversee day-to-day administrative operations in a manufacturing unit, ensuring compliance, operational discipline, vendor and event management and smooth functioning of facility and support services. The role demands strong organizational skills, vendor management expertise, and the ability to implement audit-ready systems.
Key Responsibilities
Facility & Infrastructure Management
Supervise housekeeping, Security, canteen, guest house, transport and vehicle maintenance, Events, Travel & transport management, Company owned vehicle management and horticulture services.
Ensure preventive maintenance and upkeep of administrative infrastructure.
Monitor CCTV operations, access control, and safety systems.
Compliance & Regulatory
Implement SOPs aligned with statutory requirements (Factory Act, labour laws, PCB norms, fire safety).
Maintain audit-ready records and documentation for inspections.
Liaise with government authorities for licenses, permits, and statutory clearances.
Vendor & Contract Administration
Manage vendor contracts, service-level agreements, and performance reviews.
Conduct cost benchmarking and negotiate for optimized service delivery.
Ensure timely procurement and inventory management of administrative supplies.
Tie-ups with hotels and travel vendors
Travel management
People & Process Management
Supervise administrative staff and contractors across multiple locations.
Monthly rent invoices.
Vendor and regular invoices
Handle employee grievances related to facilities and services.
Drive inclusive workplace practices and staff discipline.
Operational Excellence
Prepare MIS reports, dashboards, and compliance trackers.
Implement 5S, Kaizen, and lean administration practices.
Support crisis management, emergency response, and business continuity planning.
Should have SAP knowledge
Desired Candidate Profile
Graduate/Postgraduate in Administration/Management (MBA preferred).
8–10 years of experience in hardcore administration within manufacturing/industrial units.
Strong knowledge of statutory compliance, facility management, and vendor administration.
Proficiency in SAP systems and MS Office; exposure to digital monitoring tools.
Excellent communication skills (English & Hindi); ability to prepare bilingual SOPs and training aids.
Leadership qualities with problem-solving and cost optimization mindset.
