Job Description Summary The Executive Assistant is responsible for providing administrative support to the Project Delivery leadership (one Senior VP, one VP, three Directors, and four Managers) in a timely and professional manner. This position requires strong organization and communication skills as well as a high level of confidentiality.

 Job Description: Role & Responsibilities Prepare documents for meetings of the Management team and stakeholders. Schedule and maintain calendars for leaders, including the coordination of travel. Coordinate internal and external Management meetings and provide necessary support including, but not limited to, scheduling, meal orders, meeting minutes, and follow up. Complete expense reports and/or credit card reconciliation. Maintain annual subscriptions. Schedule and maintain training schedule for teams. Collect and communicate monthly financial reports and metrics. Organize, maintain and retrieve corporate record files and reports. Answer, filter and direct phone calls and visitors as necessary. Open, sort, prioritize and distribute incoming mail, faxes, emails and other correspondence. Track and provide feedback and recommendations on organizational continuous improvement efforts. Qualifications and Education Requirements High school diploma or equivalent required. Associate or bachelor’s degree in Business Administration or related field preferred. 5+ years of proven similar experience directly assisting executive level teams. Must be proficient in Microsoft Office products, intermediate in Excel. Display a high level of confidentiality in all business matters. Ability to work independently as well as in a collaborative team environment.   Excellent customer service, written and verbal communication skills. Strong phone contact handling and active listening skills. Self-motivated and able to work in a fast-paced environment with heavy workload. Ability to multitask, prioritize and manage time effectively while staying organized. Ability to meet deadlines and adapt to changes in priorities. This role regularly uses standard office equipment such as computers, phones, filing cabinets, photocopiers and fax machines.  This position requires the ability to lift files and open file cabinets.
