Position Overview: The Human Resources Coordinator primary responsibility includes the administering and coordinating of employee leave programs in accordance with company policies and applicable federal, state, and local laws. This position serves as a primary point of contact for employees, managers, and other respective connects throughout the leave process. As part of a collaborative HR team, each team member is trained in another area of Human Resources to provide support and ensure continuity across the department. This position requires strong organizational and communication skills, attention to detail, discretion in handling confidential information, and the ability to effectively manage multiple priorities in a fast-paced environment.
Essential Job Functions:
Administer and coordinate employee leaves of absence, including FMLA, personal leave, and other applicable federal, state, and company-sponsored leave programs, from initial request through approval, extensions, and return to work.
Administer the ADA interactive process and applicable requirements, including coordinating reasonable accommodation requests and partnering with appropriate HR personnel to determine appropriate next steps.
Review and process leave requests and supporting documentation for completeness, eligibility, certifications, recertifications, and fitness-for-duty requirements, as applicable.
Monitor employee absences, leave balances, intermittent leave usage, and return-to-work dates while ensuring accurate and timely payroll and benefits administration during periods of leave.
Communicate leave requirements, eligibility, deadlines, employee responsibilities, and available benefits to employees and managers while responding to questions and providing guidance throughout the leave process.
Partner with employees, managers, Payroll, Benefits, HR, and applicable third parties to ensure timely, accurate, and consistent leave administration and resolution of leave-related matters.
Maintain accurate and confidential leave records and documentation and prepare reports related to leave activity, compliance, and departmental metrics.
Monitor compliance with applicable federal, state, and local leave laws, ADA requirements, company policies, and benefit plan provisions; stay current on regulatory changes and recommend process or policy updates as appropriate.
Perform other HR duties and responsibilities as assigned to support the department, including special projects, process improvements, and backup coverage for other HR functions as needed.
Desired Experience/Knowledge:
Associate degree in human resources, Business Administration, or a related field preferred.
Experience administering leave for a large or multi-state workforce.
Experience with California leave is a plus.
PHR, SHRM-CP, or other HR certification a plus.
Knowledge of state-specific leave requirements.
