The Impact You'll Make As an Office Administrator , you will play a key role in creating a seamless employee experience by supporting corporate travel, fleet operations, document management, and workplace services. Based in Osasco, Brazil , this on-site position helps employees stay productive, connected, and supported every day. You will be the go-to partner for employees, helping them navigate travel arrangements, expense processes, vehicle administration, and company policies. Your ability to solve problems quickly and communicate effectively will directly contribute to an efficient and positive work environment. This role offers the opportunity to collaborate across multiple functions, drive operational excellence, and make a meaningful impact on how employees experience workplace support services. What You’ll Be Doing Coordinate corporate travel activities , including employee support, travel arrangements, expense auditing, reimbursements, and cash advances to ensure a smooth and compliant travel experience. Manage fleet operations , including vehicle maintenance schedules, documentation, licensing, claims administration, traffic fines, fuel controls, and vehicle allocation to maximize fleet efficiency and cost effectiveness. Oversee notarial and document management processes , including certified copies, apostilles, contract registrations, powers of attorney, and confidential document handling to maintain compliance and business continuity. Provide guidance to employees on travel, transportation, reimbursement, fleet, lodging, and SAP Concur processes, helping them resolve issues quickly while ensuring adherence to company policies. Create and maintain internal communications , including announcements, corporate emails, intranet updates, and other employee communication channels to keep teams informed and engaged. What We're Looking For Experience managing corporate travel programs , employee travel support, expense administration, or related office services. Experience with fleet administration , including vehicle maintenance coordination, documentation control, licensing, fuel monitoring, or cost tracking. Proficiency in Microsoft Office , particularly Excel for reporting and analysis and PowerPoint for presentations and communications. Strong written and verbal communication skills , with the ability to interact professionally with employees, leaders, and external partners. Highly organized and proactive approach , with the ability to manage multiple priorities, solve problems effectively, and communicate in intermediate to advanced English .
