About the Role
Our client is looking for a proactive and highly organized Project Coordinator to manage the administrative and operational workflow of residential window and door projects.
You will coordinate projects from signed agreement through ordering, installation, final payment, and closeout. The role involves frequent communication with customers, manufacturers, vendors, and installation crews while making sure project information, materials, schedules, and documentation remain accurate and up to date.
This is a great opportunity for a mid-level professional with construction or project coordination experience who is comfortable taking ownership, solving problems, and following projects through completion.
Key Responsibilities
Coordinate projects from signed agreement through installation, final payment, and closeout.
Communicate with customers, manufacturers, vendors, and installation crews.
Answer inbound customer calls and provide project updates.
Maintain accurate project notes, documentation, and CRM information.
Request and track quotes, support proposals, and agreements.
Collect missing project information and follow up on outstanding items.
Coordinate measurements, material deliveries, and installations.
Confirm materials are ordered, received, and documented correctly.
Track manufacturer pricing, orders, and delivery status.
Coordinate installation crews and follow up on deadlines.
Manage change orders, service issues, warranties, and claims.
Provide weekly project status updates and reporting.
Support the transition between the sales and installation process.
Proactively identify issues and keep projects moving without constant direction.
What We're Looking For
Mid-level experience in project coordination, construction administration, operations, or a related role.
Strong organizational skills and attention to detail.
Excellent written and spoken English communication skills.
Strong customer service and problem-solving abilities.
Comfortable coordinating multiple projects, vendors, and deadlines.
Experience with estimating, quoting, or technical project documentation is preferred.
Experience with Google Sheets and QuickBooks is a plus.
Experience with JobTread is strongly preferred, but training can be provided.
Construction industry experience is highly preferred.
Window and door industry experience is a strong plus.
Proactive and comfortable taking ownership without needing constant follow-up.

Customers, vendors, manufacturers, and installers receive clear and timely communication.
Orders, measurements, deliveries, and installations are properly coordinated.
Project documentation and CRM information remain accurate and current.
