Responsibilities
Providing administrative support to the project management team, including inbox and calendar management and coordinating site team meeting schedules.
Creating and maintaining project trackers, folder structures, and associated documentation throughout the project lifecycle.
Managing purchase orders from raising to receipting, procuring materials for site crews, and recording costs across relevant trackers.
Liaising with subcontractors and third-party contractors to coordinate minor repairs and works as required.
Arranging site inspections and audits, including leak audits, playground safety inspections, landscaping inspections, road safety audits, and post-construction tree surveys.
Producing weekly and monthly reports on site performance and reporting compliance, and conducting regular reviews of outstanding project actions with the engineering team.
Communicating with homeowners and external stakeholders regarding upcoming works, including drafting correspondence and coordinating letter drops.
Supporting the project management team in the implementation of new processes and procedures, and assisting with handover and completion activities as required.
Other adhoc duties as may be required by the team.
Requirements
Previous experience in a similar role
Previous experience as a Site Clerk/Site Administrator or similar role desirable but not essential
Qualification in a construction related discipline desirable but not essential
Understanding of construction industry
Excellent communication, organizational and interpersonal skills
Strong computer skills including MS Office specifically MS Excel & MS Visio
Ability to work on your own initiative and to tight deadlines
Flexibility in a team environment and a willingness to take on extra work as required is essential
