Your mission

We are thrilled to introduce a role that sits right at the heart of our service operations - keeping things moving, customers informed, and repairs running like clockwork. As our Service Operations Coordinator, you will be the backbone of our after-sales service flow in Germany. Curious what this is all about? Let's dive right in: Review, process, and verify invoices related to logistics, warehousing, procurement, warranty repair services, and other operational services, and submit them to our financial system to ensure accurate and timely payment processing.
Analyze and maintain invoice-related data, including data tracking, statistics, reporting, and reconciliation, to provide clear and reliable insights into payment and operational activities.
Coordinate paid repair services end-to-end, from preparing quotations and initiating service requests to tracking progress and ensuring timely completion.
Act as the key communication bridge between customers, Hotline Engineers, repair centers, warehouse teams, logistics providers, and third-party repair partners throughout the entire service journey.
Coordinate transportation arrangements with third-party repair service providers, including pickup and delivery schedules, shipment tracking, and ensuring all required shipping documentation is complete and accurate.
Keep all relevant parties aligned and ensure customers receive timely updates throughout the repair and logistics process, making sure that no service case falls through the cracks.
Support the team with operational reporting, data tracking, analysis, and process documentation to improve transparency, efficiency, and process quality.
Identify opportunities to improve and automate operational processes using tools such as Python and Selenium, helping the team work more efficiently and reduce manual effort.
Your profile
All right, all right - that was quite the journey, wasn't it? Now, in order to fit into this role and thrive here for a long time, your ideal background should look a lot like this: You bring solid experience in after-sales service, service operations, logistics coordination, or a comparable customer-facing operations role.
You are comfortable managing end-to-end processes independently - from documentation and quotation to shipment tracking and stakeholder updates.
You have hands-on experience with RMA processes, return management, or repair coordination workflows.
You are a natural communicator who can confidently liaise with customers, repair partners, logistics providers, and internal stakeholders.
You are detail-oriented and organised, able to handle multiple open cases simultaneously without losing track of deadlines or documentation.
German and English proficiency at C1 level is required, given the daily customer communication in the German market; additional European languages are a plus.
